Event Booking and Payment Policy

Coverage: This policy applies to all events hosted at Magsaysay Hillside Resort, including but not limited to seminars, trainings, retreats, conferences, and group gatherings availing of venue and/or hotel accommodations.

  1. Reservation and Downpayment Policy
    1.1. A minimum 30% downpayment is required upon initial booking to temporarily hold the date.
    1.2. The standard downpayment requirement is 50% to officially confirm the event and block off the venue and rooms.
    1.3. Downpayments are non-refundable.
    1.4. Without downpayment, the resort reserves the right to release the date and accept other confirmed bookings.

  2. Cancellation and Opportunity Loss Policy
    2.1. If the client cancels the event after confirmation, they shall pay 50% of the total contract amount, regardless of whether a downpayment has been made.
    2.2. This amount shall serve as compensation for opportunity loss caused by blocking off the venue and refusing other clients.
    2.3. If full payment was already made, no refunds will be issued for cancellations made 7 days or less before the event.

  3. Full Payment Schedule
    3.1. The remaining balance must be paid in full 7 days before the scheduled event.
    3.2. Events confirmed within 15 days before the scheduled date are already considered final and non-cancellable. In the event of cancellation, the client shall pay 50% of the total contract amount.
    Cancellation Charge Formula:
    Cancellation Charge = 50% of the Total Contract Amount
    3.3. Late or non-payment of the full balance may lead to automatic cancellation of the event, with no refund of downpayment.

  4. Rebooking Requests
    4.1. Rebooking is allowed once only, subject to availability and approval of the management.
    4.2. Rebooking requests must be made at least 10 days before the original event date.
    4.3. A second rebooking (after the first reschedule) will require a new downpayment.

  5. Management Discretion Clause
    5.1. While the standard policy requires downpayment, management reserves the right to waive the downpayment requirement for:

    • Valued or returning clients
    • Government institutions
    • Other organizations or individuals deemed trustworthy by the Owner/Management
      5.2. Such special arrangements are subject to the sole discretion of the resort management.
  6. Force Majeure and Acts Beyond Control
    6.1. In cases of natural calamities, government-mandated restrictions, or emergencies, clients may request a rebooking without penalty.
    6.2. Rebooked events under force majeure must be consumed within 6 months from the original event date.
    6.3. Refunds will not be issued, but the downpayment may be applied to a future date.

  7. Final Details and Confirmation
    7.1. The final headcount and rooming list must be submitted 7 days before the event.
    7.2. Last-minute changes or add-ons will be subject to availability and may incur additional charges.

  8. Acknowledgment and Compliance
    By confirming an event at Magsaysay Hillside Resort, the client affirms understanding and agreement with the above-stated policies and acknowledges that these terms shall govern the relationship between the client and the Resort for the purposes of the booked event.

Effectivity Clause
This policy shall take effect immediately upon issuance and shall apply to all future event bookings, including but not limited to seminars, trainings, retreats, conferences, and other group activities involving venue use and/or hotel accommodation at Magsaysay Hillside Resort. All existing and future clients are deemed to have read, understood, and accepted the terms upon confirmation of their reservation. The resort reserves the right to amend or update this policy as necessary to align with its operational needs and customer service standards. Any changes will be communicated accordingly through official channels.
